Operations Manager

Location: Fully Remote – South Africa

Job Summary

DUO Marketing and Communications is seeking a highly motivated and experienced Operations Manager to oversee and optimise our daily operations. The successful candidate will ensure efficient processes, maintain high-quality standards, and support our team to achieve the company’s strategic goals. This role is key to our operational efficiency and requires an experienced, detail-oriented individual who delivers strategic value.

Key Responsibilities

    1. Operational Strategy and Planning
      • Develop and implement operational strategies in line with the company’s objectives for the year.
      • Monitor and evaluate operational processes, making improvements as necessary.
      • Recommend solutions, tools and platforms that will assist with efficiencies across the agency to drive visibility and transparency
    2. Project Management
      • Coordinate and manage multiple projects, ensuring they are completed on time and within budget.
      • Liaise with different departments to ensure seamless project execution.
      • Track project performance, specifically to analyse the successful completion of short- and long-term goals.
    3. Resource Management
      • Manage and optimise the allocation of resources, including personnel, technology, and equipment. 
      • Audit our hardware bi-annually.
      • Develop and maintain relationships with vendors and service providers and keep our supplier list updated
      • Ensure that all resources are used efficiently and effectively.
      • Escalate concerns in good time
    4. Team Leadership and Development
      • Promote a culture of continuous improvement and excellence.
      • Develop a wellness programme for DUO’s staff
      • Support with onboarding and training of new staff and maintain the documentation to do this more effectively than the last time.
      • Identify training needs and opportunities for team members.
      • Manage the implementation of our local and global training programs with feedback consolidated to management for further improvement
      • Manage our SETA training processes and documentation
      • Schedule and review our Employee incentive programs for optimum reward for excellence
      • Schedule KPI meetings quarterly with feedback on improvements the company could make
    5. Quality Assurance and Compliance
      • Ensure all operations adhere to industry standards, regulations, and company policies.
      • Implement and maintain quality assurance protocols such as the DUO benchmarking document and the DUO compass
      • Conduct regular SLA audits to ensure compliance and identify areas for improvement.
    6. Financial Management
      • Assist in budget preparation and expense management.
      • Monitor financial performance and identify opportunities for cost savings.
      • Prepare and present monthly operational reports to senior management.
    7. Client Relationship Management
      • Support the team with managing our largest clients effectively – admin, bookings of advertorials, briefing designers etc
      • Maintain strong relationships with key clients and stakeholders.
      • Address client inquiries and resolve issues promptly.
      • Ensure high levels of client satisfaction through effective service delivery.
  • DUO Website and marketing
    • Ensure website is maintained and updated with content on a weekly basis
    • Assist with the development of our social media content plan
    • Review SEO reports and manage suppliers
    • Drive lead generation process with marketing campaigns and commercial reports to ensure success
    • Ensure timous reporting on a monthly basis, highlighting trends, concerns and opportunities

Qualifications

  • Education: Bachelor’s degree in Business Administration, Operations Management, or Project Management
  • Experience: Minimum of 5 years of experience in operations management, preferably in the marketing and communications industry.

The position is available immediately and remuneration dependent on skills and experience
